Terms of Service
These Terms of Service (“Terms”) outline how Equibooks Financials provides bookkeeping and administrative support services (“Services”). By engaging our services, accessing our website, or booking a consultation, you agree to these Terms.

1. Scope of Services
Equibooks Financials provides bookkeeping, administrative, payroll and software support including (but not limited to):
• Bank, credit card and account reconciliations
• Accounts Payable & Accounts Receivable
• Payroll assistance, super batch processing & STP submissions
• Financial organisation and document management
• GST coding
• Reporting: P&L, balance sheets, cash flow, budgets
• Software setup (Xero, MYOB, etc.)
• Business start-up support and system setup
• General administrative support

2. Services We Do Not Provide
As a Cert IV Bookkeeper, we are not a BAS Agent, Tax Agent, Accountant, or financial adviser.
We do not provide:
• BAS or IAS lodgement
• Tax return preparation
• ATO representation
• Advisory or advice related to tax, financial strategy, or legal compliance
• Services defined as “BAS services” under the Tax Agent Services Act 2009
All formal lodgements must be completed by you or your registered BAS Agent / Tax Agent.

3. Client Responsibilities
To ensure accurate and timely bookkeeping, you agree to:
• Provide complete and accurate financial information
• Supply requested documents promptly
• Notify us of changes to your business operations
• Maintain communication regarding payroll, new employees, invoice changes, etc.
• Ensure your accountant/BAS Agent reviews and lodges any compliance documentation
• Grant correct access to software platforms (e.g., Xero)
• Review all reports before using them for lodgement or decision-making
You remain responsible for all decisions made regarding your business finances.

4. Our Responsibilities
We agree to:
• Provide services with reasonable care, skill and accuracy
• Maintain confidentiality and privacy of your information
• Communicate clearly and within reasonable timeframes
• Maintain accurate work files and records
• Collaborate with your registered BAS Agent or accountant when required
• Notify you if any tasks fall outside our scope of practice

5. Fees, Billing & Payment Terms
Payment terms will be discussed prior to commencement and may include:
• Hourly services
• Package rates
• Weekly, fortnightly or monthly recurring support
• One-off services
• Catch-up and clean-up projects
You agree to pay invoices by the due date listed.
Late or unpaid invoices may result in suspension of services until payment is made.
All prices are quoted in Australian Dollars (AUD).

6. Cancellations, Rescheduling & Missed Sessions
• Consultation calls must be cancelled or rescheduled at least 24 hours in advance.
• Less than 24 hours’ notice may result in forfeiting the booking.
• If ongoing services are paused, reduced or cancelled, we require 14 days’ notice unless otherwise agreed.
• Work already completed or prepared prior to cancellation is billable.

7. Refunds
As bookkeeping is a service-based industry, refunds are generally not provided for:
• Time spent
• Completed work
• Reports already prepared
• Services already delivered
• Missed sessions or last-minute cancellations
Refunds may be provided in circumstances required by Australian Consumer Law.

8. Confidentiality & Data Protection
We take confidentiality seriously.
• All financial data, documents and business information provided to us remains confidential.
• We do not disclose your information to third parties unless legally required or at your request (e.g., accountant/tax agent).
• We store documents securely and handle your information in line with our Privacy Policy.

9. Software Access
By engaging our services, you authorise us to access relevant software platforms (e.g., Xero, MYOB) as required to perform bookkeeping tasks.
You remain responsible for:
• Maintaining your own subscriptions
• Granting and revoking user permissions
• Updating payment details for software platforms
We do not take responsibility for downtime, errors or system limitations caused by third-party software.

10. Accuracy & Limitations of Liability
While we take great care in maintaining accurate financial records, the final responsibility for checks, approvals, reviews and lodgements rests with you and/or your registered BAS Agent or Tax Agent.
Equibooks Financials is not liable for:
• ATO penalties or interest arising from late or incorrect lodgements
• Decisions made based on reports that have not been reviewed by a registered agent
• Errors arising from incomplete or inaccurate information provided by you
• Losses, damages or delays caused by third-party platforms or software
To the maximum extent permitted by law, our liability is limited to the value of services paid for.

11. Termination of Services
Either party may terminate services with 14 days’ written notice.
We may terminate immediately if:
• Information is withheld or falsified
• Workplace safety, respect or compliance standards are breached
• Invoices remain unpaid
• Work requested falls outside our legal scope
All outstanding invoices must be paid prior to final handover of work.

12. Governing Law
These Terms are governed by the laws of New South Wales, Australia.

13. Changes to Terms
We may update these Terms occasionally.
Continued use of our website or services indicates acceptance of any updated Terms.
